Executive Assistant

Are you an experienced Executive Assistant looking for a challenging role in a dynamic environment? Our client is seeking a dedicated and efficient individual to join our team in the position of Executive Assistant. In this role, you will play a key part in supporting our client in their daily activities.

Role Summary:
As the Executive Assistant, you will be responsible for providing confidential clerical and support services, managing diaries, coordinating appointments, handling correspondence, organising meetings, and facilitating travel arrangements.

Key Duties:
– Screen calls and respond to inquiries
– Manage diaries and coordinate appointments
– Track correspondence to ensure timely responses
– Prepare agendas and minutes for meetings
– Coordinate travel arrangements
– Draft correspondence, procedures, and other documentation
– Assist with applications
– Provide reception service for visitors, including backup during leave
– Administer records management using Content Manager
– Arrange retrieval of records from an approved storage provider
– Sentence and dispose of records in accordance with disposal schedules

Essential Requirements:
– Demonstrated experience in a similar role providing secretarial support
– Previous Government experience is essential
– Experience in preparing written material, including letters, minutes, and reports
– Experience using records management systems (Content Manager)
– Excellent organisational and time management skills
– Ability to adapt to changing demands and determine priorities
– Effective communication skills
– Ability to handle sensitive and confidential matters with discretion
– Proven ability to produce high-quality work in a busy environment
